Five rules that make DIY materials look professional
Homemade marketing materials rarely look amateur because of the tool. They look amateur because every piece was designed from scratch with different choices. These rules keep your pieces looking like they came from one business.
- Fonts keep fixed jobs. The heading font is for names, headlines and short titles. The body font is for everything else. Never add a third font because a template came with one.
- Colors have roles. Choose one main color, one accent and one or two neutrals from your palette, and use them in the same roles everywhere. Five colors on one flyer is too many.
- The logo is never stretched or recolored. Resize it only by dragging a corner so it keeps its proportions, and place it where it reads clearly. If a background makes it hard to see, change the background, not the logo.
- Give things room. Leave clear space around the logo at least the height of one of its letters, and keep text away from the edges of anything that will be printed and trimmed.
- Keep your codes to hand. Your 1-page brand summary PDF lists the logo, HEX codes and fonts together. Keep it open while you work, and send it to anyone (a printer, a sign shop, a friend helping with a flyer) who makes something for you.
Sizes and rules, piece by piece

Business cards
- US standard: 3.5 × 2 in (1050 × 600 px at 300 DPI)
- Europe: 85 × 55 mm
- Add 1/8 in (about 3 mm) bleed on every side
- Keep text at least 1/8 in inside the trim line
Put the logo on one side, and your name, role and one or two contact routes on the other. Use your heading font for your name and the body font for everything else, at no smaller than about 7 to 8 pt. Pick one palette color as the card background or accent, not all five. Canva’s business card preset starts at the right size; download with the PDF Print option and turn on crop marks and bleed.
Social profile images
- Upload square; most platforms crop to a circle
- Instagram displays at 320 × 320 px
- X and LinkedIn: 400 × 400 px
- Keep the mark centred with padding around it
Profile pictures show tiny in feeds and comments, so a full wordmark rarely reads. Crop the icon or initial from your logo PNG, place it on a square filled with one of your palette colors, and leave space around it so the circular crop doesn’t clip it. Use the same image on every platform so people recognize you instantly.
Feed posts and covers

Build two or three layouts in Canva and reuse them: a quote or tip layout, an announcement layout and a photo-with-caption layout. Each uses your fonts in the same roles and draws from your palette. A post series that looks consistent is recognizable before anyone reads your name.
Flyers and leaflets
- US Letter: 8.5 × 11 in; half-letter: 5.5 × 8.5 in

- One headline, one offer, one call to action
Lead with a headline in your heading font large enough to read from a few steps away, then the offer, then how to act (a phone number, a short URL or a QR code). Place the logo at the top or bottom, not both. White space makes a flyer look confident; filling every corner makes it look cheap.
Email signatures
- Logo displayed around 100 to 200 px wide
- Keep the whole signature short: 3 to 5 lines
- Use a common system font as the text font
- Include your details as text, not only in an image
Many email apps don’t load custom web fonts and some block images by default, so write your name, role and contact details as real text and add the logo as a small image beside them. Use one palette color for your name or a thin divider. Test the signature by sending emails to Gmail and Outlook and viewing them on a phone.
Simple signage
- Window decals, A-frame boards, table tents, banners
- 2048 px covers roughly 6.8 in wide at 300 DPI

- Give them your HEX codes for color matching
For small signs and table cards, your 2048 px PNG prints sharply. Large-format pieces such as shopfront signs and vehicle wraps usually need a vector file, which sign shops can often redraw from your PNG for a fee. Tell them your HEX codes and ask for a printed proof, because colors on screen and on vinyl or fabric never match exactly.
Canva, printer editors, or a designer?
Canva is the easiest place to make everything on this page. It has presets for business cards, posts, flyers and banners, and exports print PDFs with bleed and crop marks. Printer editors (the online design tools on print sites) are convenient for a quick order because their templates already match their trim and bleed. Their font lists are often shorter, though. If a font is missing, design the piece in Canva instead, download a PDF Print file and upload that to the printer.
A designer or print shop is worth it for large signs, vehicle graphics and anything expensive to reprint. Send them your brand summary PDF and logo files so the work matches everything else you’ve made.

Before you send anything to print
- Proofread names, phone numbers, emails and URLs twice, then have someone else read them once.
- Check that backgrounds extend into the bleed and nothing important sits near the trim line.
- Zoom to 100% and confirm the logo is sharp, not soft or pixelated.
- Ask for a printed proof or order a small batch first. Screen colors and printed colors always differ a little.
- Scan any QR code from the printed proof, not just from the screen.

For business cards, flyers and other small print, yes. A 2048 px wide PNG covers about 6.8 inches at 300 DPI, which is far wider than a logo on a 3.5 × 2 inch card. For very large signage, sign shops usually ask for a vector file and can often redraw your logo for that job.
What if one of my fonts isn’t available in Canva or my printer’s editor?
Your pairing uses free Google Fonts, so you can install them on your computer at no cost. If an online editor doesn’t list one, choose the closest match it offers, or design in Canva and upload a finished PDF to the printer instead of using their editor.
