Email Branding Checklist

Email is where trust is won or lost—especially transactional messages like receipts and onboarding. This checklist keeps emails consistent and professional.

Transactional emails checklist

  • From-name and reply-to are consistent (no random variations)
  • Subject lines match your tone (not “robotic” or overly salesy)
  • Logo is correct and readable on light/dark backgrounds
  • Buttons match website CTA style (color, shape, label)
  • Typography is consistent (avoid mixing 3–4 fonts)
  • Contact details and support links are clear and consistent
  • Footers include required info (address, unsubscribe where needed)

Newsletter checklist

  • One header style (logo + spacing) used every send
  • Consistent content sections (e.g., Tip / Story / Offer)
  • Links use consistent styling (color + underline behavior)
  • Images match brand imagery rules (tone, filters)
  • CTA appears in the same place and style
  • Signature is consistent (name/title/pronouns optional)

3 trust rules (most small businesses miss these)

  • Use consistent business name everywhere (website, receipts, emails).
  • Avoid “surprise” sender names. Customers report spam faster when sender varies.
  • Keep emails readable on mobile (short lines, big buttons).
